Grace Church, an Episcopal Church, located at 802 Broadway and Grace Church School an independent co-education JK-12 institution located at 86 Fourth Avenue and 46 Cooper Square seek a Director of Facilities.

Grace Church and Grace Church School share a campus comprising twelve contiguous buildings, a playground, and two large gardens, located between Broadway and Fourth Avenue from 10th Street to 11th Street. Grace Church, which faces Broadway, was built in the late 1840’s and is listed on the National Historic Landmarks registry. The surrounding Church buildings include the rectory, the parish house, which serves as office space, and the Chantry. In addition, the Church owns three mixed-use buildings located at 80, 100 and 102 Fourth Avenue. Grace Church School occupies two floors on 80 Fourth Avenue, as well as a series of town houses that face Fourth Avenue. The buildings were converted to School use over the last century and are listed on the New York City Landmark registry. The School also has an underground athletic center at 65 East 10th Street, and in addition, the School’s building located at 46 Cooper Square is six converted town houses with approximately 80,000 square feet of space, which is home to the High School division.

General Description:
The Director of Facilities is responsible for the daily supervision of maintenance and plant operations of Grace Church and Grace Church School buildings, property, and grounds, and with outsourced management services, which support properties owned or leased by the Church or School. The Director of Facilities is a joint employee of the Church and the School and reports to both the Rector and the Head of School. He or she coordinates all Church and School plant operations in cooperation with the Rector and Head of School.

The Director of Facilities provides leadership and direction to one Sexton, the School Building Manager, an Administrative Assistant, and 10 maintenance mechanics and engineers. The Director acts as an owner’s representative for construction and capital improvement projects, assures compliance with regulatory requirements, and undertakes additional responsibilities as directed.

Specific Duties and Responsibilities:
• Act as leader and supervisor of the Church Sexton, Administrative Assistant, Building Manager, maintenance mechanics and engineers for the Broadway/Fourth Avenue campus and 46 Cooper Square campus. Supervise the outsourced security team.

•Establish and maintain standards of housekeeping, maintenance and repairs, gardening and landscaping, and snow removal, commensurate with the preservation of the property, safety, and the quality of parish, student and faculty life, functional use and the special aesthetic values inherent in these landmark spaces both interior and exterior.

•With the Church’s Fabric and Grounds Committee, and the School’s Buildings and Grounds Committee, identify, forecast and budget preventive maintenance schedules, and capital improvement initiatives including, but not limited to mechanical system and equipment.

•Manage the relationship and contracts with all outsourced and regular vendors who provide cleaning services, equipment maintenance, security, and safety systems.

•Establish and maintain good vendor relations and accounts in cooperation with the Church and School business offices.

•Process vendor invoices for timely payment according to Church and School operational procedures including petty cash, postage, and expense reimbursement.

•Maintain up-to-date vendor files on site.

•Serve as the primary liaison for Church and School with architects, engineers and contractors.

•Collaborate with the Church and School business offices to plan annual department budgets, regularly review expenditures, and forecast long-term capital improvements.

•Ensure that all required filings related to the facilities with NYC or NYS governments are made on a timely basis and that all required inspections take place as well as representing the School and Church at any hearings before the ECB as a result of any violation being filed against the Church or School.

•Responsible for the safeguard of maintenance and safety logs for all systems and equipment.

•Maintain orderly mechanical rooms, storage areas, and inventory of supplies and equipment.

•Possess the mechanical aptitude to ensure that all life safety systems are fully functioning and that the security systems both physical and human are adequate to the task.

•Manage all short and long term rentals of School or Church spaces. Responsible for the proper and timely filing and completion of required permits, licenses, annual inspections and other requirements of local law, and insure parties under contract do the same.

•Provide supervision and recommend best practices of preventative maintenance and repairs of mixed-use properties in collaboration with property management. Supervise department staff serving as primary contact for residential tenants.

Skills and Training Required:
The Director of Facilities should have excellent mechanical aptitude augmented by formal training sufficient to provide technical leadership and coverage. He or she should be computer-literate, have demonstrated comprehension of engineering plans, and have hands-on experience in compliance with government regulations such as those of OSHA. The Director of Facilities must have excellent interpersonal and communication skills with superior training and leadership abilities. He or she must be flexible, available, and dependable.

A minimum of ten years prior experience, including experience managing a staff of 10 or more, is required. A college degree with relevant course experience is preferred. NYC BOMA, BOMI or other appropriate professional certifications are a plus.

Additional Essential Qualifications:
Because the Director of Facilities has considerable contact and direct involvement with a large Congregation, Students, Faculty, and many outside groups and individuals from all walks of life, he or she must accept a myriad of additional responsibilities, and execute those responsibilities with courtesy and diplomacy.

The Director of Facilities represents Grace Church and Grace Church School, and expected to perform in a leadership capacity with moderate supervision, and yet accept close supervision at other times. He or she must be proactive in support of the Church’s and School’s mission, goals, policies and programs.

Requirements:
•Strong interpersonal, written and communication skills.
•Experience supervising a staff of 10 or more.
•Ability to work collaboratively with people with diverse experiences, responsibilities and professional backgrounds.
•Strong organizational skills, and experience working with engineering and/or architectural drawings helpful.
•Experience with not-for-profits preferred.
•Experience with urban exterior and interior restoration required.
•Experience working NYC Landmarks Preservation Commission preferred.
•Proficiency with Microsoft Word and Excel. Knowledge of facilities and security/surveillance software suites a plus.
•Point person for 24-hour safety systems. Available 24-hours when emergency arise.
•Must be physically able to safely perform the essential job functions without obvious risk of injury to the employee or co-workers.
•Culturally adaptive, able to learn the Church’s unique decision-making framework. One does not need to be Episcopalian, but must be able to become fluent in how a church conducts business.
•Able to learn and understand the rhythms and systems unique to a JK_12 independent school
•Satisfactory completion of a background check, conducted in accordance with applicable laws.
