Church of Our Saviour [COS], an Episcopal congregation in Lincoln Park, Chicago, is seeking a full-time Office and Business Manager. Applicants should have a working knowledge of bookkeeping alongside a background in general office oversight and management. Most work is accomplished electronically and applicants should have an excellent command of business and communication software.

COS is a mid-sized congregation with a $700,000 annual budget. The Parish Business Manager’s role is to ensure that administrative structure supports the parish’s mission and various ministries. The parish is much more active than its size would indicate. The successful applicant must be able to work well with a variety of parish leaders, prioritize competing needs, supervise the small staff that reports to him or her and manage a small but busy office. The office staff currently uses MS Word, Excel, PowerPoint, Publisher, QuickBooks, and Servant Keeper software.

The Parish Business Manager is also responsible for the physical plant, which includes the 1888 church, the parish hall building, the old rectory (now office and meeting space), the parking lot and the small front gardens. Though not overly extensive, the buildings are historic and require ongoing maintenance. Weekly care of the buildings falls to the one full-time and three part-time sextons, each of whom reports directly to the Parish Business Manager. Buildings are used by both the congregation and outside groups.

The administration of the parish is divided into five Mission Areas:
1. Praising God
2. Growing as Christians
3. Serving Others
4. Stewarding Resources
5. Participating in the Larger Church

The Parish Business Manager has direct responsibility for the 4th and 5th Mission Areas:

Area Four: Stewarding Resources
General oversight for all aspects of property and building management, including rentals, office administration and parish communications;
Supervise parish sextons;
Develop and maintain excellent relationships with the Executive Committee, Vestry, Parish Council, Building Committee, Finance Committee, Personnel Committee, Landscaping Committee, Endowment Committee, and the Stewardship Committee;
Communicate their reports to each other and the parish as a whole;
Work closely with the parish treasurer to manage the bookkeeping and financial reporting;
Work with Vestry or other lay leaders on fundraising activities and general parish development;
Ensure funds received by the church are banked and accounted for;
Ensure vendors are paid in a timely way and accounted for correctly;
Work closely with whoever manages the pledges and weekly plate offerings;
Manage and maintain all parish records and documentation, especially the parish directory; create and maintain a searchable database of members, alumni, and donors.
Work with other staff and the Treasurer to prepare the annual Parochial Report;
Oversee all office activities, parish contracts, maintenance and equipment;
Oversee the publication of all parish communications, especially the weekly e-newsletter and parish web site;
Oversee the parish’s web presence and social media and work with other staff, Vestry and other leaders on overall communications and marketing strategies;

Area Five: Participating in the Larger Church
General oversight of all activities related to the special ministries of the Bishop and Rector;
Ensure that the parish is always in good standing with the Episcopal Diocese of Chicago;
Ensure that the parish is represented in the Chicago North Deanery and the annual Diocesan Convention;
Maintain records of all new members and those who’ve moved away or died; baptisms, confirmations, and funerals.
Support the work of the parish historian and archivist;
Assist the Rector as may be necessary.

Areas One, Two and Three fall into the Business Manager’s purview in terms of scheduling building use and office needs; supporting the budget development and monthly reporting of individual Mission Areas; and working closely with those in charge of the various ministries represented within these Mission Areas to ensure the smooth operation of all parish programs and special events.
