The Advancement Administrator & Data Specialist will manage donor/alumni data, gift processing & record keeping, and administrative and internal support for the implementation of CDSP’s Advancement strategies. We seek a database enthusiast who is supremely accurate, focused on detail, and excels at working collaboratively with Advancement team members. This position reports to the Director of Advancement.


Database Management:
• Manage an effective/accurate electronic donor and prospect database
• Prepare, create, and pull database-generated donor reports and queries as requested by the Director of Advancement, Dean and President, and Board of Trustees
• Generate monthly and annual metrics reports to track Advancement Office activity
• Create database-generated mailing lists (i.e. direct mail, annual fund, special event invitations, newsletter mailing list, donor recognition events)
• Ensure all records are current, including quarterly implementation of NCOA/CASS processes
• Train work-study students or contractors on database procedures as required
• Create and update database systems, polices, and procedures

Gift Processing/Record Keeping:
• Receive/open all donor mail
• Process and acknowledge all gifts in accordance with CDSP Advancement protocols, including thank you letters, memorial/honorary gift notifications, and IRS receipts.
• Maintain all electronic and physical donor records; establish records for new donors and prospects
• Track and maintain paperwork and correspondence for pledged gifts and in-kind contributions
• Coordinate with Advancement staff and CDSP Financial Office for proper gift accounting and monthly data reconciliation
• Manage records and procedures for vehicle donations, corporate matching gifts, planned giving society members, grants, and other Advancement-related campaigns

Administrative/Office Duties
• Provide scheduling assistance, meeting agendas, and other support to the Director of Advancement
• Perform typing, filing, copying, errands, answering the telephone, and other general office duties
• Manage invoices for Advancement vendors & contractors; order office supplies as needed


3-5 years’ experience with Blackbaud’s Raisers Edge donor management system. 3-5 years’ experience in an office environment with demonstrated progression of responsibility, utilizing skills noted below. Prior experience in Advancement/Development environments preferred.


Ability to efficiently gather, classify and summarize detailed information in reports. Ability to plan, organize and work on several concurrent projects by prioritizing work assignments. Ability to read, write and speak English effectively. Proficient writing skills to compose letters as directed. Ability to work cooperatively and tactfully with donors, alumni, prospects, board members, staff, and volunteers. Must be flexible, a team player, a self-starter and have initiative. Attention to detail and high level of organization is essential. Must have proficiency in computerized donor management software, database systems, and Microsoft Office applications including Excel, Word, and Outlook.


College degree, training in office/administrative management, computer use, database/records management.
